Board Activity Summary (June-October 2025)

Board Activity Summary (June–October 2025)

Maintaining Momentum Through a Season of Change

Due to the high volume of work leading up to and following Otherworld 2025, several Board discussions and decisions took place asynchronously rather than through formal meetings. This summary captures the key operational updates, decisions, and ongoing initiatives during that time.

Our goal in sharing this record is to maintain transparency with members and document the Society’s continued progress across governance, events, and community engagement.

Governance Modernization and Systems

The Board initiated the Governance Modernization Project to align Kindle Arts’ internal processes with best practices for mid-sized nonprofit organizations.

  • Research and evaluation led to the selection of Boardable as the Society’s new governance management platform. This system will centralize records, meeting agendas, and board correspondence.
  • Historical minutes, policies, and governing documents are being compiled for migration into the platform.
  • A Governance Modernization Response Strategy and an Implementation Plan have been drafted to guide both immediate improvements and long-term system development.

These updates mark the beginning of a broader effort to ensure continuity, accountability, and efficiency within Society operations.

Event Production

Otherworld 2025 was successfully coordinated as a fully volunteer-run event, with approximately 90% of participants contributing through volunteer roles, theme camps, or art projects.

  • The Placement Team oversaw 135 registered camps and 48 art installations, supported by multiple volunteer departments managing logistics, infrastructure, safety, and participant services.
  • Production processes were refined to improve accessibility, interdepartmental coordination, and communication with artists.
  • Post-event surveys were conducted with the Production Team leads to identify key learnings for 2026 site planning and collaboration.
  • Feedback and spatial data are now being compiled for inclusion in the 2025 Post-Event Report, which will summarize outcomes and community insights.

This work continues to inform a stronger, more connected foundation for next year’s event cycle.

Community Engagement and Communication

The Board gathered valuable feedback through a post-event survey distributed to theme camp and project leads.

  • A community update newsletter summarizing event outcomes and ongoing projects was posted on our website.
  • New methods for timely publication of meeting summaries and updates on the Kindle Arts website are being explored.
  • The Board is developing improved communication workflows to enhance transparency and responsiveness between leadership and the wider community. The goal is to address ongoing concerns of maintaining fairness and compassion for volunteers and hours expectations, especially during off season hours.

These efforts aim to keep members informed and engaged as we move through this period of renewal.

Financial Oversight and Administration

As Otherworld continues to mature, so does the complexity of its financial management and reporting systems.

  • Purchasing authority continues to be delegated to department leads and partner organizations (such as the BC Rangers) to maintain operational efficiency.
  • Financial reporting remains primarily volunteer-driven, ensuring accountability is distributed among the teams directly responsible for project delivery.
  • Kindle Arts’ documentation and financial standards have been commended by Regional Network Leadership for their exceptional accuracy and transparency, surpassing most nonprofit and regional benchmarks.
  • Through fiscal restraint, careful planning, and extensive volunteer labour, Otherworld remains one of the most affordable regional events globally, with ticket prices averaging $100 lower than comparable events.
  • The Art Grants Program continues to lead among regional events, offering two to three times more funding opportunities than similarly sized organizations and reinvesting directly in community creativity.

These achievements are a direct result of the community’s dedication, the work of the contract negotiation team and cost control efforts, and the countless volunteer hours contributed toward responsible financial decisions.

Together, these changes establish a stronger foundation for accountability, efficiency, and long-term sustainability.

Society Membership and Governance

Kindle Arts continues to uphold its commitment to transparent and compliant governance under the BC Societies Act.

  • A member petition under Section 75 of the Act was received, requesting a Special General Meeting (SGM). Additional information to come.
  • Governance modernization remains a top priority, aligning the Society’s practices with updated standards for record-keeping, communication, and member participation

These steps reaffirm the Society’s commitment to openness, compliance, and meaningful member participation.

Equity and Inclusion Initiatives

Kindle Arts continues to advance its commitment to reconciliation, inclusion, and equitable community practices.

  • Kindle Arts recognizes that Otherworld takes place on the unceded territory of the Ts’uubaa-asatx Nation.
  • Kindle Arts consulted with an Indigenous-led consulting firm and other specialists to review the Inclusion and Acculturation Policy. Our policies were found to exceed expectations strengthening alignment with both SPARC values and the 10 Principles of our parent culture.
  • Kindle Arts continues to educate and inform Otherworld attendees on the core priorities that Ts’uubaa-asatx Nation has set for us and all events at Laketown, and to ensure their expectations are met through rigorous policy changes and new spending.
  • Our Bullying and Harassment Policy is being formalized to reinforce a culture of respect, consent, and safety across all programs and events.
  • Inclusion and equity remain priority areas for the 2026 planning cycle, guiding how we collaborate, make space for diverse voices, and uphold our responsibility as guests on the land.

Next Steps

The Governance Modernization Plan includes implementing a standardized meeting calendar, a digital record-keeping system, and renewed attention to transparent member communication.

This summary will be reviewed and approved at the next formal Board meeting and will serve as the official record of activities during the June–October 2025 period.
