Purpose of the Meeting
This Special General Meeting was originally convened on April 30, 2026 to consider and vote on motions submitted by members and the production team, including proposed bylaw changes and organizational decisions.
At this continuation of the Special General Meeting, the Society will resume the consideration of the unfinished business from the Agenda approved on April 30, 2026.
The meeting will continue from section 3.0, followed by motions submitted by members. Business completed at the first sitting will not be reopened, and no business other than the unfinished business from that sitting will be transacted.
In accordance with the Society’s Bylaws and the BC Societies Act, this notice is being provided 21 days in advance of the meeting and includes access to the full text of all resolutions to be considered.

Due to the time available for the meeting, the bylaws and motions will not be read aloud in full. Members are therefore asked to review the materials in advance and come prepared for discussion and voting.
The meeting will continue with the unfinished business in the order set out in the agenda approved on April 30, 2026.
Voting Information
Voting will be conducted via electronic ballot through Simply Voting, as directed by the meeting Chair.
Voter Check-In
Members who intend to vote are asked to log into the Zoom meeting 30–60 minutes before the meeting begins to allow time for attendance and voting eligibility to be verified and to resolve any technical issues before voting begins.
Please use the same name and email address associated with your Kindle Art’s membership recorded when registering for or joining the meeting.
How to Vote Using Simply Voting
Eligible voters will be provided with access to the Simply Voting system. Depending on the voting setup, you will receive either a unique direct voting link or an Elector ID and Password.
- Open the Simply Voting link provided to you.
- If prompted, enter your Elector ID and Password and select Login to Vote. If you receive a unique direct voting link, clicking that link may log you in automatically.
- Select the active ballot when instructed by the meeting Chair.
- Make your selection on the ballot.
- Select Continue to review your vote.
- Review your selection carefully on the confirmation page.
- Select Confirm to submit your vote.
Once a ballot has been confirmed and submitted, your vote is recorded and you will not be able to vote on that ballot again.
Voting can be completed through a web browser on a phone, tablet, or computer. No Simply Voting app is required.
Please do not share your voting link, Elector ID, or Password with anyone else.
Members experiencing difficulty accessing Simply Voting should contact one of the designated voting-support volunteers during the meeting.
Who can Vote
During the transition period from the old to new bylaws, 2025 Members in good-standing and new 2026 Full members in good-standing will be allowed to vote at the SGM.

Participation
The Town Hall on Aug 27, 2026 provided members with an opportunity to attend in person or online, participate in discussions regarding the proposed bylaw changes, and comment on submitted motions.
Thank you to everyone who participated and provided feedback.
Any typographical or formatting errors identified in the proposed bylaws will be corrected where doing so does not alter the substance of the resolutions approved by the membership. Any substantive changes will be handled in accordance with the Society’s Bylaws and the BC Societies Act.
All members are encouraged to attend, participate in discussions, and engage respectfully in the Society’s decision-making process.
Further details on meeting procedures, speaking order, and voting will be provided at the start of the meeting.
Volunteers Needed
We need volunteer support with the logistics of the meeting and voting. We are looking for:
- 2 for voting support
- 2 IT technical Volunteers to assist with online meeting management
- 2 volunteers to monitor chat
These are volunteer positions and will count toward your volunteer hours.

There are five (5) board positions available for both remaining and upcoming term.
We are looking for individuals who are ready to listen to members and who are committed to serving in a governance role within the organization.

The Interim Board of Directors and representative(s) from the Otherworld Producer Collective will have the opportunity to interview candidates who wish to be considered. We believe this is an important step in supporting an informed and values-aligned selection process.
